5) Using Visual Management tools for strategic planning, collaboration, and communications - Genevieve

KANBAN - 看板 Created by Toyota

  • Use a digital whiteboard to collaborate with team
    • miro.com - some privacy issues, law enforcement could see your data, trackable
  • It's free on the minimal level -
    • Survey of collaborative, synchronous, and asynch techniques

  • Sticky Note Whiteboard on Miro:
    • clients are color coded
  • affinity mapping
    • organization tells you who they are, who's on the staff (team 1, team 2 - titles, etc)
    • why are they all cats? They're cat directors- wandering in different directions at all times, highly communicative.
    • define different areas people are working in
  • "CECE framework" - Community, Education, Culture, Economy quadrants.
    • "How are you involved with the community?"
    • can share board via emails, stakeholders can synchronously work together on the board or asynch later at night
    • answer the questions
    • "What programs are you doing, what impact do you want to make, what culture affects what you're doing ,and how capable are you for doing it?" : CECC
    • "Quick put three ideas about cultures" : In person framing of contributing to the affinity map
    • "Communications process"
    • Check out the features at the bottom left.
    • You can create your entire presentation here instead of PowerPoint and go through slides.
    • You can be artistic... can do anything here that you can do on a white board.

  • "To collaborate is to communicate"
    • whiteboards can be a central communication platform
    • anybody can login 24 hours
    • "fly their own kite" teach how to use the tools, then back off

  • The Communications Agreement
    • Affinity map
    • Info: what are we communicating about - a program that isn't doing well, marketing that needs input - lay the info out in front of everybody, remove Ego, and get on same page for the Info Ecosystem.
    • Mechanisms: how are we going to talk about the Info? Email? Slack? What are the favorite tools, is there pushback- if so, why? If people hate email they won't use ** ** ** Focus: What are the top three things we have to focus on? Could have secondary layer, too.
  • Collaboration: Who's going to do what with whom? The heart of what we do, digital whiteboards can define things and go from "ME" to "WE" that's the important journey for organizations to take. Ease up that daily work, keep things efficient, give everybody opportunity for active leadership by forming relationships+respect for the work we're all doing in an organization. We know we are respecting work by communicating well about it.

  • Relevant Shifts in Perspective in the center of map

  • Q: Re: Teaching this process- where are groups before they use this tool? Are they starting from scratch or..?
  • A: Last org was doing a lot of silo work, not a lot of full understanding of the other teams (CAT DIRECTORS). All volunteer org!! So first break down who does what- departments communicating with other departments- what needed to be known. Then brought in membership survey results. Memberships having vote on every bylaw/decision without education on what they are voting on is an issue- have to break down strategically- what's important in the work? What's important for members to receive? This process brings all that into focus.
  • What's working/ what isn't working?
  • What isn't working is where you suggest streamline changes to make things work.
  • Make a board: Things we don't want to do- can fall back on this.
